Privacy statement
The mission of Victoria's Quilts Canada (VQC) is to provide handmade quilts to people living with cancer in Canada. By providing these quilts, we hope to bring physical comfort to those dealing with cancer, as well as spiritual comfort in knowing they are not alone in their struggle.
While not subject to legislation with respect to the collection and handling of personal information, VQC is nonetheless wholly committed to protecting the privacy and confidentiality of personal information.
Collection of personal information
In fulfilling our mission, VQC collects personal information about quilt requesters, quilt recipients, persons making donations to VQC, and our volunteers. That personal information may include names, mailing and contact information, and limited financial information.
Whenever possible, we collect personal information directly from the individuals about whom the information pertains and with their consent. VQC collects only the information required in order to fulfill our mission.
Accuracy / correction of personal information
VQC relies upon individuals to provide accurate information to us. However, if we find that certain information is incorrect, we will amend the information as required.
Use and disclosure of personal information
With respect to information about requesters and recipients, VQC uses that information solely to fulfill our mission.
With respect to information about individuals making donations to VQC, we use the information to thank those individuals for their contribution and to provide tax receipts.
As to our volunteers, we use the information to contact them and to facilitate filling positions within VQC.
VQC does not disclose personal information to third parties.
Retention / destruction of personal information
As VQC's policy is to provide only one quilt per person suffering from cancer, the information we collect about recipients is maintained so that we may ensure adherence to that policy.
For taxation purposes, information about financial donors is retained only for as long as required by the Canada Revenue Agency after which it is destroyed.
Information about volunteers is retained until the individual is no longer a volunteer.
Safeguarding personal information
VQC protects personal information through administrative, technical and physical security measures and safeguards. At a minimum, those measures include limiting access to information, using passwords and other security safeguards with respect to computerized information, securely storing paper records, properly screening VQC volunteers, and providing direction to volunteers concerning the protection of personal information.
VQC has appointed a Privacy Officer to provide advice and guidance to the Board of Directors and VQC volunteers with respect to the proper handling of personal information.
